Guidelines
A non-refundable deposit of $450.00 will reserve your studio’s spot for any Elite Dance Challenge event. Payment can be made by cheque, money order or e-transfer to katie@elitedancechallenge.ca
Entries must be completed and submitted in full by January 5th, 2026
By Submitting your Registration, you and your studio are committing to the event in its entirety and its responsibilities & guidlines. You must provide 90 Days’ Notice prior to the event should you choose to forego your registration. Your deposit is non-refundable. Any Studios who forgo their registration without 90 Days’ Notice will be responsible to pay their full balance as per the contractual agreement.
Elite Dance Challenge reserves the right to add/subtract days, move locations or cancel the competition due to unforeseen circumstances.

​Please note payments must be received by February1st, 2026. There will be a 10% charge on all payments received after this date.

Credit Card – All credit card payments are subject to 3% processing fee.
Final Schedule will be withheld until full payment is received.
If payment is not received prior to the event the dancers are not permitted to perform or enter the venue.

ANY CHANGES made once the final schedule has been sent will be subject to
$15.00/Per Revision & will be added your to DanceBug Account.
All Scheduling requests must be submitted with your registration to be considered.
Elite Dance Challenge will not accommodate last min requests once the revised schedule has been delivered.
This creates conflict and effects the overall quality of the schedule.
Event Policies

Elite Dance Challenge reserves the right to cancel any competition if an inadequate number of entries are in place to run the event efficiently.

Elite Dance Challenge will not issue refunds for unforeseen circumstances such as extreme weather conditions, road closures, or other extraneous circumstances.

Elite Dance Challenge will not be responsible for any additional charges incurred by students, teachers, choreographers, or parents while attending any EDC event.

Elite Dance Challenge reserves the right to change, update, or modify any rules and regulations at any time.
Refund Policy

If a dancer is unable to perform due to medical reasons, a doctor’s note will be required to obtain a refund.

All approved refunds will be issued once the 2026 Regional Tour is complete.

A 5% administrative fee applies to all refunds.
Liability

Registration acknowledges your understanding that participation in dance competitions carries a risk of injury.

By registering, you accept these risks and release the directors, staff, and sponsors of Elite Dance Challenge from any claims for damages, injuries, or loss of property while participating at our event.
Media Release
-
By entering Elite Dance Challenge, you grant permission for photographs or videos taken at the event to be used as promotional material.

To preserve the safety of our dancers and the integrity of choreography, videotaping and photographing are not permitted during performances. Violation will result in disqualification.
Venue & Schedule

Venues will open 1 hour prior to the competition start time.

Dressing rooms will be assigned by EDC staff. Please be courteous, share rehearsal space, and keep dressing rooms clean. Vandalism is strictly prohibited.

Dancers must be prepared to perform 30 minutes prior to their scheduled time if EDC is running ahead. Please check in with the Stage Manager.

All entries must perform in program order unless given permission by the Director or Stage Manager. Missing a scheduled time will result in adjudication only (not eligible for placement).
Music

All music must be submitted 2 weeks in advance through your DanceBug account.
Re-Performance Policy

In the event that a performance is not completed, the routine may perform again for critique only.

These routines are not eligible for category placement or overall awards.

Exception: If circumstances are out of the dancer’s control (technical, music, lighting, or production issues).
Awards & Scholarships

All awards and scholarships are dependent on entries. Elite Dance Challenge reserves the right to increase or decrease awards at any event.

Judges’ Choice, Elite Crew’s Choice, and Choreography of the Session are awarded in addition to category placements.

Cash awards are issued to the studio only.

Independent entries are permitted but can only place in regular category placements

A studio representative must be present at overall award sessions to receive trophies and scholarships. Awards will not be mailed.

A studio score summary will be emailed to the director following the competition. Cash awards will also be remitted to the studio director after the event.

Dancers may only place once in Solo Overalls.
Props
-
Any routine using props must be noted in your entry.
-
Please include set-up and strike time for all props to assist with scheduling.
